What to look for . . .

Many people fail to look beyond the sales price when choosing the software that will be running their business.  Granted, the price is important, but there are many other factors to be considered, factors that can make, or break, a business designed around collecting RCK checks.  

In the RCK industry, as with almost any industry, efficient office procedures are going to have a great deal to do with productivity, and therefore, your bottom line.  The software that will be managing the checks should also organize the daily procedures that your office personnel will be performing.   Whether you are calling to verify funds, or scheduling ACH payments, the software must allow quick access to the proper checks and display the information in a useful manner.   

It is also a major misconception that the main and foremost element of electronic check collection software is the ability to send RCK checks through the ACH network.  This is obviously a necessity, but in the grand scope of issues that surround successful RCK processing, it is the thousands of other day-to-day responsibilities that make up the majority of the workload.  It is actually these other issues that the software needs to be proficient at.   For instance...

  • Are you doing data entry twice?  Some software products require you to reenter information over and over, whether it be in the creation of notification reports, or to reschedule a 2nd RCK, etc.  With Check Chase, you enter the checkwriter information once, and the software will handle all other functions automatically.  Absolutely no double entry, ever. 

  • Is the software 'smart' enough that it won't allow you to inadvertently process the same RCK batch twice?  There's nothing like finding out that you just accidentally debited a couple of hundred checkwriters accounts twice.  An eye opening catastrophe of this magnitude will immediately re-classify your opinion of your software.  Check Chase has multiple error checking algorithms that prohibit this sort of disaster from occurring.

  • Can the software automatically verify account authenticity prior to re-presentment?  An interface to our CAPS verification system, provides virtually real time access to over 210 million consumer accounts, and allows Check Chase to monitor whether the account is open or closed or whether it has outstanding checks or negative balances.  

  • Is a separate FTP program necessary to communicate with the processor, or is communication handled by the software?   Check Chase is an all inclusive software program.  All communications, logins, passwords and data exchange are handled by the software.  This allows the software to call our processing department, log in, and then transfer and receive your RCK items, all with the click of the mouse.

  • How does the software update returning paid and NSF items? Is it an automatic update that takes milliseconds, or is it a time consuming, manual process?  Check Chase updates returning files through an automated import process, allowing thousands of items to be updated instantly. 

  • What assistance will you get from the software in completing daily office functions and procedures?  Superior collection software should produce reports that keep your office organized and to simplify your day-to-day operating procedures.  Balancing newly entered checks, provide a method of finding incorrectly entered checks quickly, notifying merchants of newly returned checks and paying them for the collected ones, filing new and paid checks, keeping the clients money separate from yours, etc.   These items should not require additional manpower to perform, but should be an automated function of the software.

  • Does the software automatically calculate NSF fees for each store or do you have to enter each NSF fee on a check-by-check basis?   Check Chase allows the user to set up NSF return fees on a store-by-store bases, and the automatically applies the correct fee at check entry time.   Complex fee structures, such as the fee structure for Florida, can easily be created. 

  • Will the software automatically calculate and refund client rebates, i.e. $3.00 - $5.00 on each collected check, or is that left up to you?  Check Chase automatically calculates client rebates, such as the refunding of bank fees, on a client-by-client basis.   All rebates are clearly listed on the Client Reimbursement Report, along with any payments that have been received since the last time the report was run.

  • Can client rebates be automatically adjusted by the software as the collection process matures?  For instance, you may be rebating $5.00 per item if the RCK process is successful, but only paying $2.00 (or less) per item if the check goes into 3rd party collections.   Check Chase automatically handles these type of changes for you on a client-by-client bases.

  • Can the software automatically update the major check verification systems such as CAPS, Rocky Mountain, Equifax, etc.?  With Check Chase, updating these verification systems is a click of the mouse.
